Procurement Support Assistant

Overview: The Procurement Support Assistant is responsible for assisting with procurement methods and initiating bidding processes; assisting with purchasing for assigned product lines; preparing, checking, verifying and maintaining vendor records and supporting documents; documenting activities in accordance with federal regulations.

This position is full-time and located in Tacoma, Washington.


Qualifications:
•High school diploma required
•Minimum two years’ related experience required
•Federal purchasing background or related experience preferred
•Knowledge of military system preferred
•Demonstrated competence in oral and written communication
•Must be organized, attentive to detail and reliable; possess good judgment and a positive, friendly and professional demeanor
•Must be flexible with changing priorities and demands, and able to communicate in a diplomatic and professional manner
•Computer skills including at least intermediate level experience with Adobe, OneNote, SharePoint, Excel, to include use of formulas, and other Microsoft Office Software.


Responsibilities:
•Assists with purchase orders, travel, bids and budgetary expenditures; expedites delivery to ensure accurate allocation of funds and/or adherence to fiscal regulations.
•Assists with bidding process for vendor performance/compliance (e.g. prepare specifications, evaluate bids, recommend vendors, etc.) for the purpose of securing items and/or services
•Contacts vendors to verify information and/or respond to inquiries
•Enters purchase orders and vendor information in to purchasing software
•Follows up on outstanding order/travel log to complete purchasing/travel process
•Assists with ensuring proper use of Geneva funds in the acquisition of supplies, equipment and/or travel.
•Researches a variety of items (e.g. contracts, suppliers, hotels, equipment and laws, regulations, etc.) to aid in procurement
•Reconciles Accounts Payable receipts (such as credit card) to ensure proper month-end close
•Reconciles month-end encumbered aging report
•Receives invoices within purchasing system
•Attends meetings as assigned (e.g. staff, vendors, etc.) for the purpose of conveying and/or gathering information required to perform job functions
•Serves as primary backup to reception desk
•Maintain and promote Geneva’s core values of Integrity, Superior Service to Customers, Quality, Teamwork, Innovation, and Respect for All.
•Possess a working knowledge of The Geneva Foundation’s Employee Handbook, User’s Guide and Standard Operating Procedures (SOPs) as applicable
•Remain accessible and accountable at all times during work hours and collects messages at least twice daily
•Return telephone messages within 24 hours of receipt; return email messages in a timely manner as appropriate
•Comply with the dress code of The Geneva Foundation and assigned duty station
•Promote positive, professional relationships with co-workers and The Geneva Foundation
