Administrative Specialist – Environmental Programs #38771

Puget Sound Energy’s Environmental and Program Services department is looking for an Administrative Specialist to join our team. This role will perform administrative support for two departments (Environmental and Program Services, and Thermal Resources) as well as coordination of compliance activities in support of multiple environmental program areas. The ideal candidate will be able to tackle problems that they may not have encountered before with minimal guidance. Strong problem solving skills are a must.

PRIMARY RESPONSIBILITIES:

  • Assists with developing and managing multiple compliance tracking mechanisms and associated reports for program processes including document control, internal investigations, regulatory inventories and training status. Coordinates Environmental Audit Program scheduling, and issues resolution tracking and reporting. Analyzes responses to elicit compliance with required follow up tasks.
  • Assists with generation NERC/WECC Self Certification and audit preparation which includes document preparation, evidence logging, meeting schedules, progress tracking.
  • Provides input to compliance reporting by retrieving, entering data into spreadsheets, reviewing information, analyzing information to identify issues tracking down missing components and compiling back up data.
  • Prepares and submits quarterly asbestos reporting and other regulatory filings.
  • Develops and manages incident tracking for spill clean-up and other programs.
  • Inputs PALMS rosters and produces reports for compliance trainings.
  • Reviews incoming FERC mail for identification of compliance tasks and distributes accordingly.
  • Designs, develops and maintains 3 websites – Thermal Resources, Admin, and Environmental and Program Services.
  • Administrates the xEM compliance tracking system, including development and maintenance of system hierarchies, processes and training, as well as reporting and system troubleshooting.
  • Provides administrative support for contracts, invoices, and purchase requisitions.
  • Assists with time entry for the departments.
  • Orders office supplies and safety bags.
  • Assists with employee onboarding, access requests and phone, hardware and software orders.
  • Handles travel arrangements (including company plane).
  • Manages calendar for Director Thermal Resources, as well as other administrative duties as assigned.
  • Coordinates department meetings, including scheduling and catering.
  • Distributes incoming mail and provide FedEx support.
  • Performs other duties as assigned.
MINIMUM QUALIFICATIONS:

  • High School education or equivalent
  • Extensive experience using word-processing, spreadsheet, database, and presentation software
  • Previous administrative support experience


DESIRED QUALIFICATIONS:

  • Associate’s degree in business or related field that demonstrates a minimum level of organizational ability, follow-through, communication and/or project management skills, plus 3 years related experience; or equivalent combination of education and experience may be substituted.
  • Demonstrated problem solving and critical thinking skills.
  • Strong attention to detail and accuracy.
  • Strong written and verbal communication skills.
  • Demonstrated ability to multi-task with ability to prioritize and manage workload.
