DESCRIPTION:
Children's Administration is currently recruiting for a dynamic, motivated and culturally competent Administrative Assistant 3 - Executive Secretary, located in Olympia, WA.
DUTIES:
The administrative assistant reports directly to the Director and assists the Director in confidential and executive administrative matters. This position is often the first representative from the Division to interact with Children’s Administration stakeholders and major partners including organizations such as Casey Family Programs, Treehouse for Kids, Mockingbird Society and the University of Washington, School of Social Work. This position interacts and confers about projects and programs with staff from state agencies including the Governor’s Office, tribal governments, the Office of Financial Management and the Attorney General’s Office. The position also works with Federal Region X staff in Seattle and Washington D.C.
The administrative assistant
· coordinates the preparation of major projects and assignments
· assigns work to staff
· monitors for quality and completeness
· reviews responses to priority projects
This position works with other intra- and inter-agency staff in the preparation of projects and reports and conducts research on up-coming or on-going projects. This position represents the Director at meetings with stakeholders and partners and attends other functions on behalf of and along with the Director. The position prepares correspondence for the Director and exercises signature authority on administrative matters. The position keeps the Director apprised of key issues. The position may investigate operating methods and procedures used in other agencies to improve methods within the administration. The position receives and confers with official visitors and the public as requested by the Director.
QUALIFICATIONS:
REQUIRED EDUCATION, EXPERIENCE, SKILLS AND ABILITIES:
High School graduation or GED
AND
Five years of progressively responsible experience in office/clerical, secretarial, bookkeeping, accounting, or general administrative work
OR
Formal education will substitute year-for-year for experience
Desirable Skills and Abilities:
· Knowledge of office procedures and practices; business management practices, research methods and data collections; communication and correspondence practices
· Ability to work independently; read, understand and interpret policies and procedures; develop written reports; work effectively with others;
· Effective, professional verbal and written communication skills; ability to write and speak clearly and maintain appropriate internal and external sharing of information
· Advanced computer skills, including Word, Outlook, PowerPoint, Excel, SharePoint and the Internet; also required are excellent typing, editing, grammar and phone skills
· Taking calculated risks and accepting responsibility for decisions
· Planning and prioritizing work to meet internal and external deadlines
· Knowledge of State government organization and administrative procedures; Federal and local government functions; State and agency functional and personnel policies
· Ability to speak before groups effectively; compile written reports; obtain the cooperation of other departments and other government agencies; work effectively with others
