Description:
This full time position is supervised by the Oregon Operations Manager and works in tandem with the CSS Supervisor and Foster Care Licensor. Primary responsibilities include administrative support services to the CSS Supervisor and Foster Care Licensor. The administrative assistant will work to support a variety of functions including: quality assurance, data entry, human resources, foster care and special projects. The administrative assistant will also assist in scheduling and coordinating CSS to meet the needs of clients as determined by Therapists and Supervisors. The individual will assist CSS with client issues or concerns as they arise.
Essential
Functions: Support Staff Coordination * Meet regularly with CSS Supervisor to share and receive updates ensuring successful collaboration. * Support CSS during business hours for shift completion when CSS Supervisor is not available. Foster Care * Works in tandem with Foster Care Certifier with foster home recruitment activities, including completion of the Potential Foster Home Screening for prospective foster parents, providing contact information of screened home to Certifier and tracking of submitted materials as needed. * Maintains Potential Foster Home and Current Foster Home Tracking sheet. * Assembles foster parent packets, welcome packet, policies and procedures, foster parent handbook and blank foster parent charts. * Assists with checking of references for prospective Foster Parents. * Meets monthly with Foster Care Certifier and supervisor for follow up foster home documentation requirements. * Assist with foster parenting mailings. * Assists in prepping for foster parent trainings (i.e. Creating attendance sheet, certificates, photocopying materials) Quality Assurance * Maintain tracking of clinical supervision/clinical staffing to ensure compliance with OARS. * Create and maintain tracking list of BRS documentation to ensure BRS staff are in compliance with timeframes. * File BRS documentation. * Assist with closing and filing clinical records
Human Resources * Schedules interviews and arranges interview packets. * Assists with the checking of references for new CSS Candidates Data Entry * Verify all consumers’ funding and authorization limits monthly through state’s MMIS website and MHO or private insurance website. * Print screen shot of each website to ensure accurate funding and authorization for billing. * Scan and file Daily Summary Sheets in the clinical record after entry of data.

Requirements:
* High School diploma or equivalent with 1 year of administrative experience. * Knowledge of contemporary office software including Microsoft products: Word, Excel, Outlook. * Support and contribute to a creative, collaborative and respectful environment that promotes teamwork. * Experience providing consistent professional customer service. * Ability to problem solve. * Excellent communication, interpersonal and organizational skills. * Must have an acceptable driving record per CCS’ driving policy (required to provide current driving abstract). * Applicant must successfully pass required background clearances prior to an offer of employment. * Ability to work both independently and as a member of a team. * Support and uphold the mission, beliefs and values of Catholic Community Services and Catholic Housing Services. * Demonstrates the necessary attitudes, knowledge and skills to deliver culturally competent services and work effectively in multi-cultural situations. PREFERRED QUALIFICATIONS * Bachelor's degree in related field. * Two or more years of administrative experience. * Experience with medical record organization. * Experience with electronic medical record, eligibility portals/websites.
