Position
Description:

The Administrative Medical Assistant is responsible for creating, maintaining, and updating medical records as well as managing the CCS psychiatric providers’ schedule. The Medical Assistant is also the interface point between the psychiatric providers and families, other providers, and pharmacists.
Essential
Functions: * Maintain confidentially of all clinical and medical information. * Schedule all patient appointments and manage the psychiatric schedule. * Make appointment reminder calls to client families and mail out pre-appointment paperwork and reminders. * Distribute paperwork to appropriate staff and ensure its return. * Maintain a positive, respectful working relationship with clients and parents, physicians, insurance companies, care coordinators, therapists, and pharmacists. * Function as interface point between psychiatric staff and therapists and families. * Utilize online prescription service, log prescription refills in client’s file and call or fax in medication refills per psychiatric staff’s request. * Maintain medical files with appointment records and psychiatric notes. * Input psychiatric services into billing system. Follow up with Data Management staff or Operations Manager to troubleshoot billing issues. * Guide clinical documents through the psychiatric sign-off process. * Follow proper procedures for releasing client documents. * Respond to requests for records from other providers and agencies. * Work with administrative team to ensure the provision of current clinical forms to staff, provide phone coverage as needed, prepare records for release to other providers and agencies and provide technical support for therapists in file organization. * Other duties as assigned.
Job Requirements: * High School Diploma or equivalent with one year administrative experience. * Age 21 or older per Oregon requirements. * Ability to maintain strict confidentiality. * Experience providing consistent, respectful, and professional customer service. * Experience maintaining records and documentation in a medical or mental health setting. * Knowledge of contemporary office software including Microsoft products: Word, Excel, Outlook, and Access (or similar). * Ability to manage a wide range of office telecommunications equipment that are integrated with a large computer network, including phones, faxing, coping, printing, etc., in a busy office environment. * Excellent communication and interpersonal skills. * Excellent organizational skills with ability to work in a very busy/diverse environment. * Applicant must successfully pass required background clearances prior to an offer of employment. * Must have reliable transportation, valid driver’s license, auto registration and automobile insurance. * Must have an acceptable driving record per CCS’ driving policy (required to provide current driving abstract). * Ability to work both independently and as a member of a team. * Support and uphold the mission, beliefs and values of Catholic Community Services and Catholic Housing Services. * Demonstrates the necessary attitudes, knowledge and skills to deliver culturally competent services and work effectively in multi-cultural situations. Preferred Qualifications: * AA or BA/BS in psychology, sociology, medical assisting, human services, or related field. * Experience with electronic medical records. * Experience working in a non-profit environment.
