POSITION PROFILE:
This is a great opportunity to work in a challenging, fast-paced, executive environment. This full-time position will be responsible for handling the administrative functions for the Policy Director/State Forester, who reports directly to the Commissioner of Public Lands, as well as up to five policy staff.
This position will perform complex administrative duties that require independent judgment, accountability, confidentiality, organizational and prioritization skills, and outstanding interpersonal skills. The incumbent will be responsible for, but not limited to, the following:
Interacting directly with agency staff at all levels, executives and leaders from other public and private sector organizations, the environmental community, and other stakeholder groups; Interacting directly with elected tribal officials, executives and staff from Washington’s twenty-nine federally-recognized tribes;
Effectively coordinating executive calendaring and meeting management to include scheduling conference rooms, public meeting locations, meeting minutes, and other meeting logistics; Tracking deadlines and assignments for the Policy Director/State Forester as well as prioritizing incoming and outgoing requests; assessing assignments and involving necessary agency staff as needed to ensure completion of assignments in a timely manner;
Coordinating and managing the agency’s on-lline policy and procedures manual, including updating, ensuring appropriate review of proposed policies, and routing new or amended policies and standard practice memoranda for approval;
Coordinating correspondence, including drafting correspondence and organizing necessary information for signature documents;
Coordinating all aspects of travel arrangements to include detailed itineraries;
Assisting in special projects to include preparing reports, legislative testimony and other high level documents for presentations;
Providing main back-up for exective receptionist; and Providing other executive office support as needed.
QUALIFICATIONS:
DESIRABLE QUALIFICATIONS:
Ability to work with sensitive, public policy, and personnel issues while maintaining confidentiality;
Excellent oral, written, and interpersonal communication skills;
Ability to multi-task, prioritize work for self, balance workload, meet short deadlines, and work independently in a fast-paced environment with strong attention to detail;
Ability to anticipate executive needs, work well in stressful situations, and respond appropriately to emergencies;
Experience preparing high level documents, spreadsheets, and presentations;
Experience with state contract administration;
Proficient in the use of Windows Office Suite and SharePoint;
Ability to comprehend and interpret complex discussions and independently compose clear, accurate and concise notes;
Working knowledge of state government operations, the Department of Natural Resources, and the
Office of Commissioner of Public Lands;
Five years of administrative experience, preferably with three at the senior assistant level;
Excellent team player; and
Bachelor’s degree preferred

Employees who drive for state business, whether in a state or privately-owned vehicle, are required to possess a valid license as defined in policy PO02-006 and abide by all other driver responsibility requirements.
Must be at least 18 years of age at the time of hire.
