The Washington State Department of Veterans Affairs is pleased to announce the recruitment for an Administrative Assistant 5 at the Washington Veterans Home, located in Retsil.

DUTIES:
The Administrative Assistant 5 will coordinate and manage the daily operations of the office of the Superintendent. If selected, you will provide public relations and general information to a wide range of staff and visitors to include legislators, judges, labor representatives, public officials, veterans’ organizations, residents and their families. You will serve as contact and liaison between Superintendent and external customers of the program as well as assist in resolution of customer complaints or refer to appropriate area. Maintain confidentiality of sensitive records and information. Handle potentially sensitive issues with professionalism and integrity. Provide caring and compassionate assistance to residents and resolve concerns.
Some of what you will be doing:
Responsible for reviewing and tracking monthly and yearly budget forms in conjunction with Financial Analyst.
Monitor staff assignments on behalf of the Superintendent.
Monitor and approve purchase requests on behalf of the Superintendent.
Monitor and review monthly budget expenses.
Research discrepancies and prepares monthly Executive Budget Presentation.
Assist social service staff, through the provision of administrative support services, in provision of services to accomplish Care Conferences.
Interact with and provide facility tours for prospective residents and their families.
Advise and counsel applicants seeking admission to State Veterans’ Homes regarding eligibility.
Continuously review resident’s benefits, and files claims to ensure qualified veterans receive all the benefits for which they are eligible whether through the Federal Department of Veterans Affairs or other Federal or State programs.
Respond to requests from residents and/or authorized family members, and guardians regarding the balance in the resident’s trust account. Inform residents and/or authorized family members and guardians of the amount of cost of care that is due.
QUALIFICATIONS:
Required Qualifications
Strong knowledge of Microsoft Office programs including Access, Outlook, PowerPoint, Excel, Visio, Publisher, and Word.
Experience in healthcare business-related functions (cashiering, billing, insurance, benefits).
Experience in scheduling/coordinating and arranging meetings/appointments and travel.
Basic knowledge of budgeting and accounting processes.
Ability to plan facility level events and to perform research and compile data.
Candidates must also demonstrate a high level of competency in the following areas:
Communication: Ability to interact professionally with staff at all levels and members of the community. Exhibit strong oral and written communication skills. Practice quality customer service, including strong verbal and non-verbal skills, listening skills. Communication skills in confidentiality and diplomacy, handling disgruntled complaints on the phone, or in person. Customer service skills to be able to interact with residents, families, professional multidisciplinary team, outside agencies on a regular basis.
Leadership/Influence: Ability to lead staff and promote a positive work environment to support the mission, vision, values and goals of the agency. Proven supervisory experience and command.
Ethics and Integrity: Ability to exercise a high degree of discretion and judgment in delivering professional and accurate information on behalf of the Superintendent and Operations Manager. Maintain confidentiality at all times.
Team Building: Ability to effectively coordinate and manage projects and assignments with other divisions and agencies.
Initiative: Ability to work independently, conduct research, and find solutions to issues. Self-motivated and accountable for meeting project deadlines and deliverables.
Organizational Skills: Must be extremely organized and able to multi-task. Ability to manage multiple, time-sensitive programs and projects with results-oriented approach.
Preferred Qualifications
Bachelor’s degree Public or Business Administration and four years of experience in a comparable position providing assistance to a senior level administrator.
Three years of administrative or supervisory experience.
Knowledge of geriatric care, medical terminology, and experience working in a long-term care environment.
Understanding of Federal and State regulations related to resident care, personnel, and financial management.
Training in Microsoft Office programs (Access, Outlook, PowerPoint, Excel, Visio, Publisher, and Word).
Special Requirements
Must pass a background check every two years
Annual TB testing
