DESCRIPTION:
The Finance and Administrative Services Division (FASD) of the Employment Security Department (ESD) is recruiting for an Administrative Assistant 4 (AA4). This position provides administrative support and assistance to the Director of Internal Audit, the Director of Office of Lean
Transformation, and the Director of Workforce Monitoring. This position contributes to the mission of ESD by participating in the development of the strategic direction, objectives and continuous quality improvements.
DUTIES:
Prepare, process, and track all personnel and position actions; complete all HR paperwork and coordinate timelines (i.e., recruitment, hiring, personnel actions, position descriptions, yearly evaluations, service awards, etc.); review personnel requests for content and accuracy; request revisions as necessary; timesheet processing and approval for the branch.
Track and monitor performance evaluation schedules.
Conduct routine administrative activities and communications; monitor information, requests and internal assignments to ensure timely completion; assist in administrative projects and business process assignments.
Coordinate travel arrangements and maintain supporting documents. Coordinate and maintain calendars and appointment schedules; coordinate and make meeting arrangements; prepare agendas and handouts; document, provide, and maintain meeting minutes.
Prepare review, and maintain correspondence, reports, forms and documents for signature; develop and maintain current lists and matrixes (i.e., organization charts, phone lists, signature authority matrix, training requests, required policy reviews, etc.).
Plan and organize local, area and state events and activities.
Process and maintain order requests and invoice payments; review reports for non- authorized payments.
Process contract payments and prepare reimbursement requests.
Maintain accurate position and employee reports.
Research operating procedures with other agencies; establish procedures and develop improved administrative methods.
Promote compliance with agency guidelines and area strategies; assist staff in understanding policy and procedures.
QUALIFICATIONS:
Required qualifications
Working-level computer skills - use computer hardware and software to complete assignments.
Working-level writing skills - convey information in writing according to the needs of the audience.
Working-level oral communication skills - convey information orally according to the needs of
the audience, and receive and understand spoken information.
Working-level workload management skills - plan and organize assignments to create timely, accurate work products. Work efficiently, remain focused, and handle interruptions effectively.
Awareness-level knowledge of human resource principles and procedures.
Desired qualifications
Demonstrated knowledge of Microsoft Project.
Demonstrated knowledge of Microsoft Visio.
