The Washington State Department of Veterans Affairs is pleased to announce the recruitment for an Administrative Assistant 3 at the Washington Veterans Home, located in Orting.

DUTIES:
The Administrative Assistant 3 will ensure the payroll/timekeeping process is completed accurately and timely. Compare leave slips and overtime slips to employee time-sheet to ensure accuracy, signature and correctly dated. Reviews and confirms that all vacation, sick leave, and other absences are recorded and checks for eligibility , confirming that employee(s) have leave available to use and that proper leave is being used. Contacts employees and supervisors regarding processing issues related to leave slips and time cards and coordinates to ensure timely processing.
Here’s some of what you will be doing:
Provide monthly reports from supervisors for their staffing needs.
Complete and maintain the annual posted vacation schedule for all nursing staff.
Track and trend vacation and leave accrual and use.
Answer questions from employees regarding leave balance time/work record, payroll and leave without pay. Compute leave balances each month and inform staff of maximum vacation hours, accumulation of compensatory time and time limits for usage.
Print and post permanent nursing care schedule on a monthly basis for floor planning and dailies for staffing.
Assist the Director of Nursing with maintaining adequate staffing levels. Participates in monitoring the nursing budget.
Provides direct support to the DNS in tracking and trending for overtime and on-call costs for FTE control purposes.
Performs administrative support duties and responsibilities.
QUALIFICATIONS:
Progressively responsible experience of general administrative work which includes clerical, bookkeeping and/or accounting work.
Good interpersonal and communication skills both verbal and written.
Strong organizational skills with attention to detail.
Good analytical and critical thinking skills.
Accountability –accepts responsibility for own work and that of subordinates.
Proficient computer skills with mastery of Microsoft Office, Word, Excel, and Access.
Understanding of budget concepts and practices.
Models WDVA vision, mission, and values.
Demonstrates experience and skills as a lead team player and supervisor.
Ability to understand and maintain the highest level of confidentiality at all times.
Special Requirements
Must pass a background check every two years
Annual TB testing
