This is a non-permanent, full-time position until July 1, 2015, pending budget the intent would be to make this a full-time permanent position, available with Department of Commerce, Office of Economic Development and Competitiveness at the Westin Building located in Seattle, WA.

About this position:
This position supports the Assistant Director and the division’s Leadership Team, as well as maintaining records management for the division, and providing support division wide. This position performs professional level administrative duties that are clerical in nature, requiring substantive knowledge of a variety of regulations, rules, policies, procedures, and processes, to support and ensure the division meets critical deadlines and goals. The position reports directly to the Administrative Assistant 4 and is required to follow the policies and procedures set forth by the Department of Commerce. Work is assigned verbally and in writing, depending on the assignment.

Duties:
· Assist the Administrative Assistant by processing documents for the Assistant Director’s signature including contracts, correspondence, travel request and personnel actions.
· Review documents signed by the Assistant Director and distributes to appropriate staff.
· Maintains proper electronic record of signature items while taking appropriate security measures to ensure protection of confidential information.
· Coordinates logistics for meetings, conferences, and conference calls. Provides support including agenda building, note taking, and other items as requested.
· Under coordination of the Business Services Division (BSD) Administrative Assistant, serve as the Assistant to the Public Disclosure Coordinator for BSD. Gather response from staff and submit consolidated response to the Division Public Disclosure Coordinator of the commerce public Records Officer.
· Answering phones and scheduling conference room reservations.
Qualifications:
· High school diploma
AND
· Minimum of two years’ experience performing complex clerical duties.

· Able to work with and keep confidential issues of a sensitive nature.
· Must have attention to detail, ability to track and complete multiple projects for a diverse workgroup.
· Must have the ability to be responsive to the needs of several staff within the agency and division and must be able to positively communicate and negotiate realistic timelines that may differ from others’ expectations.
· Experience developing retention schedules and with retention conformance with state records guidelines.
· Proficient use of Microsoft Outlook programs (Outlook, Word, and Excel).
· Experience setting up and maintaining electronic and paper filing systems.
