THIS POSITION IS NON PERMANENT AND EXPECTED TO LAST 6 MONTHS
The Department of Corrections is seeking a highly motivated and qualified individual for a non-permanent Office Assistant 3 at WCCW located in Gig Harbor, WA.
The Department of Corrections is responsible for administering adult corrections programs operated by the State of Washington. This includes state correctional institutions and programs for offenders supervised in the community. The Department consists of the Office of the Secretary, Executive Policy, Offender Change Division, Prisons Division, Community Corrections Division, Administrative Operations Division, and Health Services. The Department employs over 8,200 staff and has a biennial budget of approximately $1.6 billion.
WASHINGTON CORRECTIONS CENTER FOR WOMEN is a 62.6-acre facility located approximately two miles from Gig Harbor. The site includes living units, administration buildings, a health clinic, education buildings, a gymnasium, a chapel, industries buildings, food service buildings, and support facilities.
Whether the work is inside a prison, in community corrections, or in an administrative office, the Washington State Department of Corrections professional staff experience a high degree of personal satisfaction knowing they are creating environments in which all offenders can learn to make choices that contribute to a safer society.
DUTIES:
This position supports Health Services and Department of Corrections (DOC) mission by ensuring timely appointment management and that administrative operations are effective, professional, respectful, high quality, timely, accurate, safe and consistent with all statutory requirements, DOC policies, goals and objectives, and all local procedural requirements. This position maintains a calm demeanor in the presence of emotional and/or mentally volatile patients and very busy professional staff.
Duties include, but are not limited to:
Patient Services Coordination:
Schedule patient appointments, both internally and externally
Exercise specialized knowledge and judgment regarding medical terminology, surgical procedures, length of item needed for various types of appointments, and custody needs regarding scheduling of external appointments for WCCW offenders
Utilize department scheduling software to manage scheduling queues, waiting lists, and referral requests
Monitor urgent requests and communicate with clinical leadership to ensure patient services are prioritized according to need, provider directives, and all applicable policy and statutory requirements
Customer Service and Office Management:
Work with other Health Services Support team members to ensure that daily shared tasks are accomplished
Provide excellent customer service to assigned professional staff, Health Services administration, facility executives, custody staff, and patients
Other duties:
Promote safety and security; be an active participant; be aware, be alert, act safely and make recommendations
Manage email and ensure timely response
Attend all required training
Additional duties as assigned
QUALIFICATIONS:
Required Qualifications:
High School Diploma or equivalent.
Maintain current CPR certification and ensure that proof of status is provided annually to facility leadership.
Must demonstrate in-depth working knowledge of office assisting skills.
Must have successfully completed and required and/or applicable training/certifications.
Should be familiar in working in a health care setting.
This position is included in a Union Shop that requires employees to become dues-paying members within 90 days of employment.
Participate in mandatory annual, or other required, in-service training.
New Department employees must successfully complete Correctional CORE training.
