The Information Services Division (ISD) has an exciting opening for a professional Administrative Assistant. In this fast paced, ever changing environment, you represent the agency’s Chief Information Officer (CIO) and support the division’s purpose of providing secure, dependable, and high quality IT services.

Your Role and Responsibilities:
· Serve as the principal and confidential assistant in administrative matters to the Assistant Director/CIO and Deputy CIO of ISD.
· Make decisions and act in the absence of the Assistant Director in delegated administrative areas.
· Assist the CIO and DCIO with complex and highly confidential issues, projects, and programs.
· Supervise the Administrative Team and manage the day to day operations, including ensuring front desk reception coverage.
· Represent the agency and the IS Leadership through professional interactions and collaborative partnerships.
· Manage the CIO’s and Deputy CIO’s complex calendar and demanding schedules. · Track action items, assignments and decisions from various meetings.
· Communicate agency level decisions and coordinates implementation and efforts.
· Represent the division as the inventory controller and facilities issues coordinator.
· Coordination and processing of personnel actions.
Professional who should apply possess:
· One year as an Administrative 4 or two years as an Administrative 3 or a Bachelor’s degree in business administration, public administration, or closely allied field and two year of administrative experience. Additional qualifying experience may substitute for education on a year for year basis.
· Proficiency with technology to conduct the business of the organization (Outlook, Word, Excel, PowerPoint, and internal systems).
· Skills to effectively organize multiple assignments, sometimes involving competing priorities, and to produce work products that are accurate, thorough, and on time.
· Strong communication skills to include effective writing, presentation, and facilitation.
· Interpersonal skills to work successfully with diverse audiences and treat everyone with respect and courtesy.
· Ability to work in a stressful and fast paced environment while maintaining a positive attitude.
· Ability to anticipate upcoming needs and proactively work to develop strategies and solutions.
· A high level of confidentiality.
Preferred applicants will have:
· Knowledge of state government organization and administrative procedures.
· Skills to motivate others and foster a professional and productive work environment.
· Experience providing administrative support at the executive level (i.e., appointing authority).
· Received recognition for being resourceful and implementing solutions to problems or complaints.
· Flexibility to adapt approaches, goals and methods to achieve successful solutions.
